How to add new positions and make other updates in ID Flow (HR Badging Software)

When the HR staff are adding a new staff person to ID Flow, they select their position title, Unit, and other information from the available drop-down menus. Over time some positions get renamed and new positions get created, making it necessary to update this drop-down lists. This article will explain how this is done.

 Instructions

 

  1. Log into the Badging system with your standard ad3 account.

  2. Launch the ID Flow application. It will auto-login for you based on your ad3 account.

  3. Once it opens, click on the Settings button in the lower left.

  4. It will probably open up to the Manage Cardholder Groups screen. If it doesn’t, just select if from the vertical menu on the left.

  5. From the cardholder groups, select the one that you want to update and click on the Edit button.

  6. The Group Identification page appears. Click on the dropdown arrow to the left of the Database menu item to open it up.

  7. On the Cardholder Database page, click on the Configure button in the Record Form box.

  8. The Customize Record Form editor appears. Click on the field you are interested in updating. This is necessary to make the Edit Lists button visible.

  9. In this instance, I clicked on the Position field. The Default Value dropdown list for the field you selected is now active and populated.

  10. Now, to edit the entries, click on the Edit Lists button.

  11. select the list you want to edit from the list and click on the Edit button.

  12. Now, the Drop-Down List Properties box appears. To add a new entry, click on the green + sign. (And to remove an entry, select it and click on the red - sign.)

  13. When you click on the green plus sign button, a new entry line will appear. Enter the new position here.

  14. Add as many entries as you want using this button and when you are done click Ok. If prompted to save your changes, select Yes.

15. You can use these same steps to edit any of form drop-down lists. And you are done!
